How to Enable Safeguarding & Permissions (Organisation Setup)


Audience: Registered Managers, Admins, System Owners

Enabling the Safeguarding Tracker Pack

The Safeguarding Tracker Pack must be enabled and permissioned at an organisational level before staff can use it.

This guide explains how to:

  • Enable the safeguarding trackerpack form
  • Control who can create, view and manage safeguarding records
  • Ensure safeguarding data is restricted and auditable


1. Confirm the Safeguarding Tracker Pack Is Enabled

To check that the safeguarding tracker pack is enabled for your organisation: 

Go to Admin Dashboard
Click onto Forms
Scroll down the list to find "
Ofsted Contact Logs for Incident Reports" - Ensure this is enabled as a global form. 

As this is a global form there is no need to update your individual form groups. 

2. Set up the permissions for who can see / use the safeguarding tracker

By default, only level 99 will have access to this initially, so if you wish for your senior management to have access to trigger these & also review / edit them you will need to update their roles. 

Go to to Admin Dashboard
Click onto Roles
Choose the role you'd like to edit for example "Service Manager"

You want to scroll to the "Ofsted Contact Logs" section
There are 5 options available, 
You will only need Create, Edit & View and ofsted contact log.

Also on Roles under the section "Young People"
You want to select "Trigger an Ofsted contact log"
